Online Scheduler SpecMind Pro — included

Clients book themselves. You sleep in.

A branded booking page at your own link, a slot engine that only offers times your team can actually make, and a confirmation flow you control. Clients pick a slot, sign the agreement, and land on your calendar — no phone tag.

Branded booking page

One link. Five steps to booked.

Your booking page lives at a unique URL built from your company slug. Clients walk a clean five-step wizard — choose a service, pick a date and time, enter contact info, review and sign the agreement, confirmation. Copy the link into your website, email signature, or Google Business Profile, or embed the page in an iframe; it's fully responsive either way.

  • Auto-confirm or review first. Choose whether bookings confirm instantly or land as pending for your review. Require-confirmation is the safer default for teams — nothing hits the calendar without your sign-off.
  • Business hours, per day. Close Sundays, run shorter Saturdays, and set a minimum lead time so nobody books a slot two hours from now.
  • Agreement signed up front. The wizard includes review-and-sign, so the paperwork is done before you've even confirmed the job.
The slot engine

Availability that's computed, not guessed.

The engine generates slots in 30-minute increments and only shows the ones that work: inside your business hours, long enough for the service booked, clear of every existing inspection on that inspector's calendar, and past your minimum lead time. Clients pick a primary service, stack optional add-ons, and watch the total price and duration update — the combined duration is what the engine checks against.

  • Duration-aware. A three-hour job won't be offered a 4:00 PM start when you close at five. Set accurate estimated durations and the calendar takes care of itself.
  • Conflict-blocking. An existing 10 AM inspection removes every overlapping slot automatically — no double-bookings through the page.
Team routing

The right inspector, assigned automatically.

Give each inspector a set of zip codes and the scheduler routes bookings for you: inspectors whose service area covers the property come first, and among them the booking goes to whoever has the lightest load that day — your default inspector only breaks a tie. No zip match? It balances across the whole team by load the same way. You can reassign before or after confirming — the algorithm suggests, you decide. Solo operators can skip all of this; routing only matters once there's a team to route.

Confirm & decline

You stay in control of the calendar.

In require-confirmation mode, new bookings land as pending on your dashboard and inspections list. Open one, reassign the inspector if needed, and confirm — the client gets an email with the date, time, and inspector details. Can't take the job? Decline with a reason, and that reason goes in the client's email so they understand why and can rebook. Declining and canceling are separate actions with separate messaging, because the difference matters to the client.

Questions, answered.

What if I don't want bookings confirmed automatically?+

Then don't let them be. Set the scheduler to require confirmation and every booking lands as pending until you review it. You can reassign the inspector before confirming, and the client isn't told they're on the calendar until you say so. Auto-confirm exists for solo inspectors who want zero friction.

How does the slot engine prevent double-booking?+

Slots are generated in 30-minute increments inside your business hours, and any slot that overlaps an existing inspection on that inspector's calendar is removed before the client ever sees it. Service duration counts too — a 2.5-hour inspection won't be offered a start time that runs past closing.

Can clients add services like radon or termite testing when they book?+

Yes. You configure primary services and optional add-ons in Settings → Services, each with its own price and estimated duration. On the booking page the client picks one primary service, stacks any add-ons, and the total price and duration update as they go. The combined duration drives which slots are shown.

Do I need my own website to use the scheduler?+

No. Your booking page is hosted by SpecMind at a link built from your company slug — share it in an email signature, on your Google Business Profile, or anywhere else clients find you. If you do have a website, link to the page or embed it in an iframe; it's fully responsive on any device.
