Templates & Agreements SpecMind Pro — included

Your standards, encoded.

A template is your inspection process written down — every section, every item, every pre-written comment. SpecMind gives you an editor to build it, six ready-made templates to start from (a full residential plus five specialty), a PDF importer to bring your old one over, and agreements your clients sign before you arrive.

Template editor

Sections, items, comments — exactly your way.

A template defines the sections you inspect — Roof, Plumbing, Electrical — and the items inside each one. Every item carries the pre-written comments your inspectors select in the field, split into informational notes, limitations, and deficiencies. The editor lets you add, remove, and reorder all of it, and duplicate a whole template when you need a variation — a condo version of your residential template, say — without starting over.

  • Three comment categories. Informational, limitation, deficiency — each item's comment library is organized the way findings actually read in a report.
  • Snapshots protect finished work. Every new inspection locks to a snapshot of the template at creation. Edit the template tomorrow; yesterday's inspections don't move.
  • Flexible in the field. Inspectors can add custom sections and items on the fly during any inspection — the template is a starting structure, not a cage.
Included templates

Six templates, ready on day one.

Pro includes a production-grade template set: a full residential inspection plus Pool & Spa, Termite/WDO, Mold, Radon, and 4-Point. All of them are editable and all of them are yours — use one as-is on your first job, or gut it and rebuild it around how you inspect. See what each one covers on the Template Library page before you sign up.

Migration

Your old template imports in minutes.

Export your template as a PDF from your current platform and drop it into SpecMind's PDF Import — it parses sections, comments, and severity tags into an editable SpecMind template. Sections and items map one-to-one, so your inspectors feel at home by the first job. Prefer a fresh start? Describe the inspection you want and the AI Template Generator writes the structure for you. The Migration Guide walks through the whole sequence, step by step.

Inspection agreements

Signed before you step on site.

Write your pre-inspection agreement once in a rich text editor — formatting, headers, bullet points — and it's ready for every inspection after that. Send it and the client gets an email link to a mobile-friendly signing page: they review the terms, enter their name, and draw or type a signature. No client account, no third-party e-sign subscription. If they book through your online scheduler, the agreement is presented and signed during booking — no extra step at all.

  • Snapshot at send. Each sent agreement captures the template as it was at that moment, so updating your terms never alters what someone already signed.
  • Status you can see. Every inspection shows its signing status. Not signed yet? Resend the email from the detail page in one click.
  • Confirmation for both sides. When the client signs, you both get a confirmation email and the signed agreement is stored on the inspection record.

Questions, answered.

If I edit a template, do in-progress inspections change?+

No. Every inspection is created from a snapshot of the template, so it's locked to that version. Refine your template as often as you like — existing inspections and published reports stay exactly as they were.

Can I bring my template from another platform?+

Yes. Export it as a PDF and use SpecMind's PDF Import — sections, comments, and severity tags come across as an editable SpecMind template. Or skip the migration and have the AI Template Generator write a new structure from a plain-language description. The Migration Guide covers both paths.

How do clients actually sign the agreement?+

From an email link — no account required. They open a secure, mobile-friendly page, review the agreement text, enter their name, and draw or type a signature. Both of you get a confirmation email, and the signed agreement is stored on the inspection record. Clients who book through your online scheduler sign during the booking flow.

Can my whole team work from the same template?+

Yes. On team accounts, templates can be shared across the company — they appear for every inspector, but only owners and admins can edit them. That keeps one standard across every report your shop publishes.
